Everything your team knows about a customer, on the record itself

Threaded notes, follow-ups, templates and branded documents on Accounts, Cases, Opportunities and any record you choose. Inside Salesforce, so the detail that used to live in email finally has a home.

Proven Success With

On the record

What your team gets that a note field never will

  • Threads, mentions, and an owner for the next stepThe escalation, the reply, and the person who owes the follow-up stay on the case. No parallel thread in email, no summary going stale in a wiki nobody opens.
  • Confidential notes the CRM will actually holdA renewal risk or a pricing floor is restricted to an approved group by Salesforce sharing, not by hiding a field. It stays out of list views, search and reports for everyone else.
  • The same write-up shape every timeDiscovery calls, incidents, handover packs and QBR prep run off templates and guided forms, and any of them is one step from a branded PDF filed against the record.

Where the narrative leaks

Six places account context goes missing before anyone notices

Not a feature gap list. These are the failure modes we find in orgs that have tens of thousands of clean records and nowhere structured to write down why any of them are the way they are. A note field captures what somebody typed. It cannot say who is allowed to read it, who owes the next step, or what a good write-up looks like, and those three omissions are what push the useful half of the story out of the CRM.

Deal reasoning

The record shows the outcome, never the argument

Stage 4, close date moved twice, discount at 18 per cent. Why is in a thread between two people who have both since changed roles, and the forecast call has to reconstruct it from memory.

Commercial sensitivity

The honest note never gets written

Nobody types "champion has left, procurement is stalling, this renews at risk" into a field the whole org can report on. So the CRM records healthy pipeline until the quarter it does not.

Follow-through

Commitments have no owner and no clock

A promise made inside a write-up is not a Task and does not appear on a report. It resurfaces when the customer chases it, which is the most expensive time to find out.

Consistency

Two reps, one call type, two different shapes

Free text means every write-up is a personal format. You cannot report across them, you cannot compare them quarter to quarter, and a new starter cannot copy the good ones.

Handover

Handovers rebuild the story from three places

Chatter has the chatter, the note field has a summary, the attachment is in someone’s sent items. Onboarding a new owner costs a week of asking, every time.

Vendor risk

The workaround tool fails the security review

Teams that need structure end up in a wiki or a note app. Now customer commercial detail sits with a processor nobody assessed, outside retention, outside legal hold, outside the CRM.

None of these are solved by a better text box. They are solved by giving a note an audience, an owner and a shape, and by keeping it inside the system that already governs who sees what.

Who we built this for

One app, four very different rollouts

A two hundred user org and a twenty thousand user estate have the same underlying problem and almost nothing else in common. What changes is where the constraint sits: vendor review and audit at the top end, handover and standards in the middle, and nobody to build it at the small end. Pick the one that reads like you and it will pre-scope the conversation below.

Security

Your notes never leave Salesforce

Every note, reply and file stays in your own org, under the sharing model your administrator already maintains. There is no other company in the picture and nothing to export anywhere.

Team

Colleagues who can see the record

The call summary everyone picking up this account needs.

Private

Only the person who wrote it

A working thought you are not ready to share yet.

Confidential

Only the group your administrator approves

Renewal risk, a pricing floor, or a sensitive escalation.

Visibility is enforced by Salesforce sharing itself, not by hiding a field on a page. A Confidential note does not appear in a list, a search or a report for anyone outside the approved group.

Nothing is sent to another company

WorkNotes Plus talks to no outside service. There is no vendor holding a copy of your notes, so there is no third party for your security team to assess.

Your sharing rules already apply

If someone cannot see the Account, they cannot see its notes. Access follows the model your Salesforce admin already maintains.

Access split three ways

Separate permissions for everyday users, for administrators, and for whoever owns the template library, so nobody gets more than they need.

A record of who saw what

Earlier versions of a note are kept and can be restored, opening a note is recorded, and every email sent from one is logged.

Honest comparison

What you are actually choosing between

Every org already solves this somehow. Usually badly, occasionally expensively, and almost never on purpose. These are the five options on the table, described the way we would describe them in the room.

  • Chatter

    Good feed, wrong job

Chatter is built for broadcast and activity, and it is good at that. It has no priority, no status, no owner on a follow-up and no template. Six months later the post is technically still there and functionally unfindable. Run both; they are not competing.

  • The description field

    Free, and it shows

One box, one format, one audience. Anyone who can see the record can see everything in it, which is exactly why the commercially sensitive half never gets typed. No threading, no history, no way to hand it over.

  • A wiki or a note app

    Structure, at a price

You get the structure, and you also get a second system with its own logins, its own leavers process, its own retention policy and its own line in the vendor register. The link between the note and the record is a URL somebody has to remember to paste.

  • Building it yourself

    Six weeks, then forever

The first version is a custom object and a Lightning component, and it works. The cost is the Apex sharing model, the reminder job, the template library, the PDF engine, and an owner for all of it through every release for as long as the org lives.

  • WorkNotes Plus

    The structure, inside the org

Threading, visibility carried by Salesforce sharing, follow-up owners, templates, branded documents and reporting, on the records you already run. One system to govern, because it is the system you already govern.

Use cases

Where teams put it to work first

It is not built for one industry or one record type. These are the three places teams usually start, and the ones worth picking for a first rollout.

Sales

The account everyone can pick up

Discovery calls, negotiation outcomes and the constraints behind a deal, captured on the record so the next conversation starts where the last one ended.

  • Renewal risk and pricing detail kept Confidential
  • An owner and a date on every commitment made
  • Meeting and call templates so write-ups compare
  • A branded client brief generated from the account
Service

The handover that actually hands over

An agent leaves a threaded note on the case, mentions the queue lead and sets a follow-up. The next person reads one thread instead of reassembling three.

  • Replies stay on the case they belong to
  • Mentions notify whoever has to act next
  • Incident and escalation templates for consistency
  • A board of everything Open, Waiting or In Progress
Your own objects

Projects, sites, assets, claims

Turn it on for the objects your business actually runs on, so programmes and long-running work get the same structure without buying another tool.

  • Any object you choose, standard or custom
  • Folders and tags to organise by workstream
  • Change request, handover and post-mortem templates
  • Adoption reporting per object

Scope a first phase

Getting started

Live in an afternoon, not a project

Almost all of the setup happens for you. What is left is deciding which records and which teams go first, and that is a conversation rather than a build.

  1. See it on records like yours

We walk you through a demo org first, so you can judge it against the way your team actually works before anything is installed.

  2. We install it into your sandbox

Installation sets up the app, the starter templates and the reminder schedule for you. There is nothing to build.

  3. You choose where it appears

Pick the records your teams live on, from Accounts and Cases to your own objects, and we place the workspace on those pages.

  4. Your team starts the same day

There is no new login and no new tool to learn. People open a record and the notes are simply there.

  5. Managers get the reporting

The report packs install with the app, so leaders can see open work, overdue follow-ups and adoption without asking anyone.

No new tool to learn. There is no separate login, no separate inbox and no export step. People open the record they were already working on and the notes are simply there.

The WorkNotes Plus setup checklist showing each rollout step with a live health check beside it.

The setup checklist reports what is genuinely switched on rather than what was ticked, so a half-finished rollout is visible instead of assumed.

What changes

The difference it makes, in practice

No promises about percentages. These are the things that are simply true once a note carries an owner, an audience and a shape.

Nobody re-explains the account

The reasoning behind a deal or a case sits on the record it describes, so picking it up does not depend on who was on the original email.

The sensitive detail gets written down

Because Salesforce decides who can read each note, the things people used to keep out of the CRM can finally go into it.

Commitments close themselves out

Follow-ups carry an owner and a date, and the reminder goes to that owner, so the loop closes without a manager tracking it by hand.

Write-ups you can report on

Templates give the same call the same shape every time, which is what turns notes from anecdote into something a manager can read across.

Client documents in a click

A branded PDF is built from live record data and filed in Salesforce, instead of being rebuilt in a word processor and emailed as an attachment.

Nothing new to govern

Notes and files are ordinary Salesforce data in your org, so your backup, retention and access reviews already cover them.

Frequently asked questions

Notes on Salesforce, answered.

Straight answers about what it does, who can see what, what it costs and how long it takes to get running.

A standard note records what somebody typed. It cannot say who is allowed to read it, who owes the next step, or what shape the write-up should take. WorkNotes Plus adds threaded replies, mentions, follow-up owners and dates, folders, board and calendar views, templates and branded documents, and it applies three levels of visibility to every note.

No, and we do not pitch it as a replacement. Chatter is a broad activity feed. WorkNotes Plus is a structured record of decisions and handovers, with priority, status, folders and templates. Plenty of teams run both.

Only the people your administrator has put in the approved group. Visibility is enforced by Salesforce sharing itself rather than by hiding a field in the interface, so a Confidential note does not appear in a list, a search or a report for anyone outside that group.

Any record type you choose, including Accounts, Contacts, Opportunities, Cases, Leads and Tasks, as well as your own custom objects. Your administrator switches on the ones your teams use, and a note can be linked to as many as ten records at once so the same context shows up wherever it is relevant.

No. WorkNotes Plus does not talk to any outside service. There is no other company holding a copy of your notes, no separate account to manage, and nothing for your data to be exported to. Your notes, files and settings are ordinary Salesforce data in your own org.

You pick a template, check a live preview, and generate. Your company name, logo, accent colour and footer are applied automatically, and real record data is merged in, so the finished PDF is ready to send. Seven document templates ship with the app, from an internal memo to a full client report.

An afternoon in most orgs. Installation sets up the app, the starter templates and the reminder schedule. What is left is deciding which records and which teams go first, which is a conversation rather than a build. A setup checklist inside the app shows what is genuinely configured at each step.

Salesforce Lightning Experience. It is supported on Enterprise, Unlimited, Performance and Developer editions, and it is not supported in Salesforce Classic. It works alongside Sales Cloud and Service Cloud and needs nothing else bought or connected. If you are unsure whether your org qualifies, ask us and we will check it with you.

Nothing for the app itself. Talk to us if you want help with rollout, the visibility model, your own templates or your branding, and we will scope that separately.

SynconAI. We are a Salesforce partner delivering architect-led Salesforce work across Australia and the United States, and the same team that builds WorkNotes Plus handles demonstrations, installs, rollout and support.
