# Parts and Inventory Check Agent

Canonical: https://synconai.com/ai-agents/parts-and-inventory-check-agent

Type: Field Service AI Agent for Salesforce · Category: Field service and operations · Status: Live demo · Works with your team

**The right part, in the right van, before the job begins.**

The Parts and Inventory Check Agent answers "where can I get one?" in the Salesforce Field Service app: the technician's own van, every warehouse after its emergency reserve, and colleagues' vans nearby. It keeps the wrong part off the job and the last part for the job that needs it, and sends one approved request to a live Parts Desk.

## The problem

The most expensive part is the one that isn't on the van.

A missing part turns a simple repair into two visits, an unhappy customer and a wasted afternoon. The technician rings the warehouse, waits on hold, maybe fits whatever he has, and starts tomorrow with a run to the warehouse.

## The real run

Recorded live in the Salesforce Field Service app, on a demonstration company and a real Salesforce org. Ben's lines were spoken into the app's own voice input; the text is what the phone wrote down, and the replies are the agent's own words from that run, unedited.

### 11:43 AM · Where's the relay?

- **Ben (spoken):** Where can we get a compressor relay for this unit?
- **Agent:** Compressor relay 5510: none on your van (Van 04). Dogpatch Warehouse has 3, 2 free after the reserve. Sarah Collins has 1 in Van 06, on a job at Pacific Heights Dental right now.

In Salesforce: : None · : 3, with 1 held back for emergencies · : 1, on a job nearby right now

Why it matters: Two relays matched his words; the agent picked the one the job under way needs, and named who has one and where they are.

### The swap

- **Ben (spoken):** Can I use the 5520 relay on my van instead?
- **Agent:** Compressor relay 5520 isn't on the approved list for Compressor relay 5510, so fitting it could affect the warranty. Keep it for your 2:30 PM job at Union Square Florist (Walk-in cooler not holding temperature): that job needs it, and it's the only one on your van.

In Salesforce: : No · : Needs that relay; it is his only one

Why it matters: He was focused on the job in front of him. The agent checked the rest of his day.

### Sarah's van, approved once

- **Ben (spoken):** Okay, then get me the one from Sarah's van.
- **Agent:** Ready to request: 1 x Compressor relay 5510 from Van 06 (Sarah Collins) to Van 04 for job 00000119, needed by the end of today. Approve it from the job's Actions, Review Parts Request. Nothing is requested until you approve.

In Salesforce: : 1 x Compressor relay 5510, Van 06 to Van 04 · : The vet clinic job, by the end of today · : Live, ready for pickup

Why it matters: His colleague's own jobs come first: a van only gives what its technician doesn't need today or tomorrow.

### 4:38 PM · Tomorrow's five jobs

- **Ben (spoken):** What about tomorrow? I'm ready for all five jobs.
- **Agent:** I've checked all 5 of tomorrow's jobs against your van: 2 have everything they need and 3 are short, with a fix for each. Embarcadero Coffee House needs 1 x Condensate pump 4480: Sarah Collins can spare it from Van 06. North Beach Bakery needs 1 x Temperature sensor TS-200: Dogpatch Warehouse has it above its reserve. Hayes Valley Wine Bar needs 1 x Expansion valve EV-12: you already carry the approved Expansion valve EV-14.

In Salesforce: : Condensate pump, from Van 06 · : Temperature sensor, above its reserve · : The approved valve

Why it matters: One approval puts the pump and the sensor on tonight's pick list, a source on every line. No warehouse run in the morning.

## What it is

Helps field technicians find a part on their van, the warehouse or other vans, with approved substitutes, request a transfer or product request with one approval, and check that today's jobs have their parts.

Quality: 385 automated tests passing and 92.6% code coverage at its last validation (2026-11-06).

## Capabilities

- **Every van and shelf.** His van, warehouses after their reserve, and colleagues' vans with who has them and where.
- **The right part.** Only approved substitutes; anything else gets the warranty reason.
- **The next job, protected.** The last part on the van is kept for a later job that needs it.
- **From a colleague, fairly.** A colleague's van gives only what their own jobs don't need.
- **Approve once.** Review Parts Request shows exactly what will be requested.
- **Tomorrow, sorted.** Every job checked; a fix for every gap; one pick list.

## How it is governed

- **Nothing requested without approval.** Every request is a draft until the technician approves it on Review Parts Request.
- **Emergency stock protected.** No warehouse goes below the reserve set for each part.
- **Approved parts only.** Substitutes come only from your approved list.
- **Numbers from Salesforce.** Every count, location and time is read from your records and repeated as written.
- **No costs shown.** Prices, costs and suppliers are never read or shown, and stock counts are never edited.

## How it is tested

- Technician conversations, replayed before every release: stock by description, the reserve, an unapproved swap, a colleague's van, deliveries elsewhere, today's and tomorrow's jobs.
- Automated tests on every action, including a least-privilege technician.
- Live requests in the Field Service app before anything ships.

## Good to know

- Purchase orders to suppliers stay with your Parts Desk.
- A colleague is told by a notification when a part comes from their van.
- It works in the Field Service app on Android and iOS; the review step is a quick action on the job.

## What we need from you

- **Field Service:** Warehouses, vans and stock, with required parts on your jobs.
- **The Field Service app:** For your technicians, and Agentforce.
- **Your approved list and reserves:** Which parts can replace which, and what to hold back.
- **A Parts Desk team:** Who picks, hands over and orders.

Industries: Heating, ventilation and refrigeration; Plumbing and electrical; Appliance and equipment repair; Property and facilities maintenance

## FAQ

### Does it work in the Salesforce Field Service mobile app?

Yes. Technicians open Agentforce from the job's Actions and ask in their own words. Review Parts Request is a quick action on the same job.

### Does it protect emergency stock?

Yes. Every warehouse keeps the reserve you set for each part, and a colleague's van keeps what their own jobs still need.

### Can it stop the wrong part being fitted?

It only suggests parts on your approved list, and says why when an offered part isn't approved: it could affect the warranty.

### Does it look ahead to the technician's other jobs?

Yes. If a part is the last one on his van and a later job today needs it, the agent tells him to keep it. It also checks tomorrow's jobs and finds a source for every gap.

### Does anything get requested before the technician approves?

No. Every request is a draft until he approves it. Then it is created once and goes to the Parts Desk.

### What does the warehouse see?

A live Parts Desk in Salesforce: requests with source, technician and job, van stock to restock, stock near reserve and tomorrow's pick lists.

### Does it show prices or edit stock?

No. Costs and suppliers are never shown, and stock counts are never edited by the agent.

### How long does setup take?

It depends on your Field Service inventory and rules. We scope it with you on a call.
